Vacancy: Administrator – Association for Art History

Part Time, Paid (£15k-20k pro rata).

The Administrator is responsible for processing and creating reports on memberships, providing support to the CEO and taking care of office administration.  The post reports to the CEO, and the incumbent works closely with several colleagues including the Deputy CEO, Head of Engagement, Finance Manager and the Membership Marketing Manager.

Responsibilities include:

Process new and renewal membership applications. This will involve processing online memberships and logging data in the database, run monthly membership reports, liaise weekly with Finance Manager regarding membership payments, facilitate all aspects of managing the office administration including answering the phone, emails, collecting and posting mail, booking rooms, ordering stationery and other related tasks, provide PA support to the CEO, assist with social media posts, liaise weekly with Deputy CEO regarding event bookings, assist with any other appropriate tasks that may be required, such as setting and taking notes at meetings and creating reports/spreadsheets.

Office Software and Packages: Subscriber and ThankQ CRM systems, Ms Word, MS Excel, Mailchimp, WordPress, Twitter, Facebook, Outlook, Eventbrite.

Specification: The role would suit someone who is keen to build upon existing experience and develop their skills within the charity or arts sector.  The candidate must have good administrative skills, have experience with database/CRM systems, have a pro-active approach to work, and be able to work confidently by themselves and as part of a small team. They must be able to manage their time and workload effectively and have excellent organisational skills. They should be able to take initiative and be able to handle multiple responsibilities efficiently.

As the first point of contact in the office, the Administrator should have excellent communication and interpersonal skills and be able to demonstrate diplomacy and tact.
